Controller

Job Title: Controller
Location: ACE Office or Remote Options Available (ACE offices)
Department/Division: Finance and Technology
Status: Regular Full-Time, Salaried (Exempt)
Schedule/Hours: Full-time, 40 hours/weeks with additional hours as needed. Typical work hours of 8:30am-5:00pm (Monday - Friday) local time with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.
Reports To: Chief Financial Officer
Travel: Less than 10%

Position Summary:
Reporting to the Chief Financial Officer (CFO), the Controller is a hands-on accounting and finance leader who thrives on challenges and is not afraid to roll up sleeves and get into the details of the financials. The Controller is responsible for the management of the accounting and finance operations assigned to this position. The Controller assists with leading day-to-day accounting and finance operations of a $32 million budget and supervises a team of two staff members, including functional responsibility over accounting, accounts payable, accounts receivable, payroll, and grants & contracts administration. The Controller will ensure that ACE has the systems and procedures in place to support effective program implementation and conduct flawless audits.
Essential Duties and Responsibilities:
- Oversees all accounts, ledgers, and reporting systems to ensure compliance with GAAP (Generally Accepted Accounting Principles) and any other applicable local, state, or federal regulatory requirements across the organization and within program operations
- Manage day-to-day operations assigned including, but not limited to AP/AR, GL, Month End closing, Payroll, Grants and Contracts
- Manage the activities of General Ledger (GL) Accounts, including regular and allocation journal entries
- Perform monthly reconciliation of all Balance Sheet Accounts, including but not limited to banking, fixed assets, prepaid, deferrals and accruals
- Review and monitor fixed assets, depreciation, and all facility capital projects and ensuring all are reconciled monthly
- Perform AP/AR (accounts payable and accounts receivable) reconciliations
- Create and ensure accuracy of monthly journal entries, GL, and financial statements
- Manage preparation of monthly & quarterly financial statements, including necessary reconciliations
- Create and ensure accuracy of monthly & quarterly financial reports including statements of activities (income statement) with budget to actual performance monthly/quarterly and YTD, statement of financial position (balance sheet), program reviews and designated funds utilization and balances
- Prepares reports for external financial reporting requirements as needed
- Perform a thorough and timely review of all financials and perform special analyses as needed
- Assist in the annual budgeting and planning process
- Monitor financial compliance requirements of all federal and state contracts, and assist with contract budgeting, invoicing, and reporting
- Supervise, support and train accounting and finance team members to ensure the accurate and timely payment of invoices, maintenance of vendor contracts, and proper expense coding for monthly financial statements
- Coordinate and assist CFO with independent annual audit, providing all necessary documentation to auditors
- Coordinate assigned part of single audit (A-133)
- Contribute to budgeting processes, including workforce and resource cost projections
- Responsible for entering and updating budget(s) in NetSuite
- Assist CFO with maintaining/updating Chart of Accounts (COA) in NetSuite
- Directly supervise, lead and coach two direct reports
FINANCIAL ANALYSIS AND STRATEGIC THINKING:
- Promote sound fiscal planning and gather data to allow accurate projections of revenue streams and expenses
- Assist the CFO with regularly tracking measures of financial performance
- Assist the CFO with creating projections and feasibility analysis to support compensation, programs, and grant & contract administration
- Ability to communicate financial concepts to non-financial staff members in an effective and understandable manner
- Ability to manage in alignment with the mission, vision and values of the organization
OTHER DUTIES:
- Continuous examination and improvement of assigned existing procedures and processes; propose new processes, policies and procedures as needed
- Remains up to date on nonprofit financial and audit policies and reporting requirements
- Complete various ad-hoc projects and analyses
- Assist in special projects as necessary
- Other duties as assigned by CFO
Required Experience and Qualifications:
- Bachelor's Degree or equivalent in accounting, business administration, finance or related discipline OR any combination of education, training, and experience which demonstrates the ability to perform the duties of the position at the discretion of the CFO ( CPA, CMA, MBA, or MSA designation preferred).
- Minimum of five years experience in accounting required; nonprofit accounting management experience preferred.
- Minimum of 3 years' experience managing accounting/finance staff preferred.
- Previous experience as a non-profit Controller desired.
- Ability to work in a remote administrative environment
- Ability and experience working in a primarily digital (paper secondary) environment.
- Must possess high initiative and be detail oriented
- Knowledge of principles and practices of advanced nonprofit accounting
- Knowledge of the laws, rules, and regulations for nonprofit financial record keeping and reporting especially regarding grant and contract requirements, principles, and audit (2 CFR 200)
- Strong capacity to analyze accounting software systems and to lead transition from one system to another maintaining data integrity
- Strong computer systems skills, including proficiency in business and accounting computer systems, and advanced Excel skills with the ability to analyze large amounts of data; Experience with NetSuite, Expensify, and Paylocity software is preferred.
- Ability to understand and carry out oral and written instructions

- Ability to work well with others and to seek assistance when needed to carry out assignments

- Experience learning new systems quickly, with the ability to train others on their use.

Physical Demands, Work Environment and Working Conditions
- Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
- Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
- Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
- Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled..
- Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
- Travel: This position may require domestic travel.
Compensation: Starting annualized salary range of $70,000-$90,000 (40 hours/week for 52-weeks), depending on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. Additionally, ACE observes 11 paid annual holidays and provides 10 days (or 80 hours) of paid sick time annually.
