Job Title: Member Support Coordinator

Location: Fletcher, North Carolina (Asheville Area)

Department/Division: CREW, Eastern Division

Status: Regular Full-Time, Salaried (Exempt)

Schedule/Hours: Full-time. Flexible scheduleMonday- Friday; 40 hours/week with additional hours as needed. Some evening and weekend hours may be occasionally required.

Reports To: Associate Director of Member Resources

Travel: Limited, 10%

Position Summary:

The Member Support Coordinator (MSC) is an office-based position and works closely with all staff members and volunteer AmeriCorps corpsmembers within the ACE Eastern Division, based in the Asheville area of North Carolina. The Member Support Coordinator will be responsible for meeting the AmeriCorps administrative and member management needs of ACE's Eastern Division. The MSC will frequently interact with ACE's AmeriCorps members as well as the general public and as such is expected to maintain a professional demeanor, positive attitude, and willingness to act as an ambassador of ACE's program at all times. The MSC will need to be flexible, adaptable, and enthusiastic while working in a fast-paced office environment with regular visits to field operation locations. The MSC will work closely with the Eastern Division's other MSC (Outreach) & Associate Director of Member Programs as well as collaborate remotely with other ACE offices across the U.S. to ensure consistent communication and policy compliance across divisions. The primary responsibilities include processing AmeriCorps paperwork by given deadlines, orienting new members, conducting Mid-Term and Exit interviews, and providing overall support for AmeriCorps members throughout their terms, as well as assisting the Outreach MSC with interviewing and recruiting AmeriCorps members for the Eastern Division as needed.

This position is located out of ACE's Eastern Division Fletcher/Asheville, NC field base and requires some regional travel (10%) to project locations and outreach/recruitment events.

Essential Functions and Responsibilities:

  • Engage, oversee, and support AmeriCorps members during their ACE conservation service
  • Process administrative paperwork for AmeriCorps member term enrollments and exits through the AmeriCorps eGrants system by given deadlines
  • Manage and update all member information in ACE's internal database and spreadsheets for clear tracking of ACE members across all divisions.
  • Administer and allocate slots for numerous AmeriCorps grants.
  • Assist with AmeriCorps compliance, member file management, criminal history checks, and other enrollment duties.
  • Assist the with conducting AmeriCorps member interviews utilizing the standard recruitment protocol and screen candidates from all backgrounds, as needed
  • Develop and maintain strong communication between ACE staff and all incoming and current AmeriCorps members
  • Coordinate orientation agenda and duties with ACE staff and co-lead ACE/AmeriCorps orientations
  • Assist Member Management team in ensuring on-boarding process runs smoothly for all new arrival groups; organize orientation materials and new member documentation; follow up on on-boarding items to make sure they're completed on time; coordinate arrival details with incoming members
  • Maintain, develop, and disseminate member support materials in collaboration with other ACE departments
  • Conduct required Mid-Term Evaluations and End-of-Term Evaluations with ACE Eastern AmeriCorps members
  • Network and develop partnerships with organizations/entities in the local community
  • Assist in coordination of Volunteer Service Projects for and with ACE AmeriCorps members in local communities.
  • Lead ACE professional development trainings as needed
  • Review AmeriCorps member timesheets weekly for accuracy and timesheet compliance in a timely fashion while working with members to submit those sheets regularly
  • Assist other ACE staff to mentor and develop members into stewardship and leadership roles
  • Respond to emergencies and organize medical care for sick or injured Members (including after hours).
  • Assist Associate Director with identifying places for program improvement
  • Assist Division Director with Puerto Rico Program administrative tasks or local hiring when needed
  • Other duties as assigned

Required Experience and Qualifications:

  • Familiarity with basic office practices, file management, and records maintenance
  • Ability to function as an efficient, effective, communicative, and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
  • Strong skills in leadership, interpersonal communication, organization, management, problem solving, conflict resolution, and motivating others
  • Must maintain a positive, constructive, and flexible work environment conducive to team dynamics
  • Computer skills including intermediate knowledge of Excel and Google Suites, strong professional email etiquette, and strong data management skills
  • Attention to detail
  • Must have a strong comfort level speaking on the phone
  • Basic comfort level with public speaking
  • Takes initiative and has strong planning, organizational, and time management skills; ability to prioritize and plan work activities; uses time efficiently and develops action plans when given a demanding workflow
  • Ability to receive and provide constructive feedback.
  • Ability to understand and carry out oral and written instructions.
  • Ability to understand and follow ACE systems and processes.
  • Willingness to travel locally, work occasional weekends/evenings, and attend community events
  • Leadership ability, forward-thinking, positivity, and flexibility are important assets in this position, as the ACE Member Program Management department continues to evolve.
  • Previous experience working in a team setting supporting/developing young adults as well as leadership in nonprofit, conservation, and/or natural resource management fields preferred
  • Experience with or knowledge of working with AmeriCorps in either an AmeriCorps member or staff capacity are also preferred
  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.
  • 1-2 years of previous experience with volunteer programming or AmeriCorps member management and support, preferably in a Conservation Corps.

Other Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record
  • Proficient in English
  • Ability to pass a federal criminal background check
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently lifts up to 10 lbs., occasionally lifts up to 25 pounds.
  • Environmental: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position requires domestic travel.
