ACE's Emerging Professionals in Conservation (EPIC) program has a national reputation for providing exceptional training and support to enable individuals to safely and economically implement technically complex and physically demanding conservation projects for the National Park Service, the US Forest Service, Bureau of Land Management, US Fish and Wildlife and numerous state and local land management partners.

Title: Division Support Specialist

Location: Salt Lake City, UT. Options may include other ACE offices or remote/flexible telework options

Department/Division: EPIC, U.S. Fish and Wildlife Service Division

Status: Regular, Full-Time, Salaried (Exempt)

Schedule/Hours: Flexible schedule (Monday-Friday); some evening and weekend hours may be occasionally required

Compensation: Full-Time, 40 hours/week within a flexible schedule. Competitive starting pay of $35,000 annualized salary with a benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays and 401k retirement for qualified employees

Position Summary:

ACE is seeking candidates for Division Support Specialist for the Emerging Professionals in Conservation (EPIC), US Fish and Wildlife (FWS) Division who are passionate about youth engagement, resource management, and desires to work at the national level through ACE's 21st Century Service Corps partnership with Federal land management agencies. Our cooperative partnership responsibility is to bridge EPIC pathways to public service careers, both federal and nongovernmental.

The Division Support Specialist for the EPIC FWS Division will work under the direction and support of division leadership to assist with a variety of administrative, programmatic and operational projects. In support of facilitating meaningful conservation professional development opportunities for youth and young adults on public lands, the Division Support Specialist will be responsible for assisting with Division specific outreach and recruitment efforts and serve as a project-related point of contact for applicants, members and FWS partners as well as other public/private partners and projects. The Division Support Specialist will coordinate internally with the EPIC FWS Recruitment & Member Manager, Associate Director and Division Director, as required.

ACE EPIC FWS Division Background and Objectives:

The ACE EPIC FWS Division currently manages more than 50 Cooperative Agreements with FWS across the country. Projects supported are diverse and range from invasive species control; riparian and wetland restoration; threatened and endangered species research and management; records reconciliation; realty; vertebrate and invertebrate research and management; ecology; landscape level planning; maintenance; outreach and visitor services

Essential Functions and Responsibilities:

The Division Support Specialist will support the Director, the Associate Directors, and the Recruitment and Member Manager in a variety of operational, programmatic and project specific tasks including:

Recruitment and Outreach:

  • Assist with recruitment and outreach efforts for the FWS Program, including:
    • Development of position descriptions for EPIC FWS projects
    • Post and advertise EPIC FWS project opportunities and positions
    • Conduct first-round applicant interviewing/vetting
    • Follow up with candidates about application status and materials
    • Compile and prepare applicant information and collaborate with project partners with applicant placement
    • Research and formulate recruitment strategies including finding new recruitment sites, building relationships with academic institutions, agencies, tribes, and local organizations while recruiting, interviewing and reviewing prospective candidates.
  • Assist with ensuring timely and accurate onboarding & data entry of selected FWS interns and fellows for the Division.
  • Support Division efforts to recruit for diversity, and promote a culture of inclusivity

Member Support:

  • Coordinate Division uniform inventory needs as well as member uniform logistics
  • Assist with time and attendance reporting and processing
  • Respond to general internship inquiries over phone and email
  • Assist with member travel logistics, including hotel booking and more
  • Assist with member per diem and reimbursement processing
  • Assist with AmeriCorps Member Account audits
  • Support high-volume needs during periods of intense field seasons
  • Facilitate feedback from the field, including photos for ACE media

Assist and Support Agreements and Project Management:

  • Support project tracking efforts and data entry as needed
  • Review data entries to ensure they are up to date and accurate
  • Assist in the tracking and entry of member and staff generated expenses
  • Other duties as assigned

Required Experience and Qualifications:

  • Ability to effectively work with a diverse range of people as a contributing member of the team, and to work independently
  • Strong written and oral communication skills
  • A deep and continuing interest in the welfare and effectiveness of the FWS Division team
  • Commitment to ACE's mission of public service through youth development & volunteerism
  • Highly organized with the ability to maintain organization of numerous accounts for projects nationwide, utilizing proprietary database tools
  • Computer skills required including intermediate knowledge of Google Suites, MS Office, iOS, and professional email etiquette as well as experience or willingness to learn applicant tracking software, personnel databases, and webinar platforms such as Zoom or equivalent
  • Must be flexible and eager to engage the highly mobile and largely remote teams that make up ACE
  • Effective time management skills, and the ability/desire to concurrently perform multiple deadline-driven tasks
  • Ability to receive and provide constructive feedback
  • Ability to prepare and maintain records and reports
  • Ability to understand and carry out oral and written instructions
  • Ability to understand and follow ACE systems and processes

Other Requirements:

  • Legal ability to work in the US
  • Proficient in English
  • Ability to pass a federal criminal background check
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time

Preferred Experience and Qualifications:

  • Previous experience in formal team setting (volunteer, academic, professional)
  • Interest and/or knowledge of non-profit program or project management
  • Experience with the ACE , US Fish and Wildlife Service, other land management agencies, or interest in supporting public lands management
  • Desire to participate in field projects alongside ACE participants, when possible.
  • Valid driver's license and an insurable driving record

Physical Demands, Work Environment and Working Conditions

Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch

Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus

Weight Lifted or Force Exerted: Frequently lifts up to 10 pounds, occasionally lifts up to 25 pounds

Environmental: Moderate noise such as in a business office with equipment and light traffic

Travel: This position may require limited local, domestic travel
