Schedule/Hours: Full-time. Flexible Schedule with varying shifts; 40 hours/week with additional hours as needed.
Reports To: Pacific West Division Director
Travel: Yes, regional travel required.

Position Summary: The Associate Director of Member Resources (ADMR) fills a vital role as the head of ACE Pacific West's Member Resources Team. Under the supervision of the Pacific West Division Director, the ADMR provides leadership and direction for the Member Resources Team, managing Member Support Coordinators and Logistics Coordinators working at ACE PW's two base locations in Ridgecrest, CA and Sacramento, CA as well as coordinating closely with ACE PW's Operations Team. The ADMR has three major areas of responsibility:
1) Supervision and leadership of PW's member support program
2) Supervision and leadership of PW's logistics program
3) Expansion and development of the Member Resources Team and associated projects and programs.
The incumbent will lead PW Division staff to develop and implement outreach, recruitment, and onboarding processes and strategies to ensure a diverse and well-prepared team while also overseeing logistical processes related to housing, transportation, and food for members. The ADMR will ensure ongoing support for Pacific West conservation program members during their service including training and professional development programs, and facilitates continuing member engagement post-service. This position could be based at one of ACE PW's two field base locations or could be conducted from a remote work location within the Pacific West region. It requires regional travel (30%) alongside office work (70%).
Essential Functions and Responsibilities:
Supervision and Leadership of Member Support Program
- Serve as direct supervisor for Member Support Coordinators (MSCs) in the PW division. Provide training, develop work plans, and hold MSCs responsible to assigned duties.
- Develop and implement a robust outreach, program marketing, and recruitment plan for the PW division with an emphasis on reaching a diverse pool of potential member applicants. Utilize the ACE website, outreach events, and other avenues effectively while coordinating with other divisions and national staff to ensure consistent messaging.
- Work closely with the ACE Operations Team to ensure the division recruits and supports enough volunteer members as needed for field conservation projects.
- Develop and implement an onboarding and ongoing training and mentorship plan for the PW division to provide initial orientation as well as pathways for members from diverse backgrounds to develop skills and fill leadership roles within ACE. Ensure professional development opportunities are available to enhance member experience and provide a diverse education outside of field projects.
- Provide leadership and oversight for non-field emergencies. Assist in responding to field emergencies as appropriate.
- Work closely with all PW division staff to ensure that all AmeriCorps regulations are complied with. Ensure that information needed for accurate and timely reporting and other AmeriCorps-related requests are fulfilled. Implement performance action contracts, suspensions, or dismissals for violations of ACE AmeriCorps Policy.
- Develop and implement feedback programs to assist in staff and member development and program improvements. Monitor member feedback and respond appropriately.
Supervision and Leadership of Logistics Program
- Serve as direct supervisor for Logistics Coordinators (LCs) in the PW division. Provide training, develop work plans, and hold LCs responsible to assigned duties.
- Collaborate with LCs, PW Operations Team staff, and the ACE Facilities Department to ensure all facilities are in order, well-maintained, and sufficient to the needs of the PW division. Assist in development and enforcement of standardized regulations for ACE housing including drug- and alcohol-free policies.
- Collaborate with LCs, PW Operations Team staff, and national ACE staff to ensure that the PW division fleet is in order, well-maintained, and sufficient to meet division project needs. Develop and implement a driver training program for members and staff.
- Collaborate with LCs and PW Operations Team staff to ensure food and other basic supplies are purchased and provided to crews as appropriate. Check purchasing receipts and ensure the division stays within budget.
Expansion and Development of the Member Resources Team and Associated Projects and Programs
- Lead and manage the Member Resources Team (MRT). Plan and facilitate new hires, training, and development opportunities for the MRT.
- Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff. Foster an environment that is anti-bullying, anti-harassment and anti-discrimination throughout the Member Resources Team.
- Assist the Division Director with restarting and developing an international conservation volunteer program as conditions allow. Integrate international volunteers into ACE PW projects and programs to enhance member experience and diversity.
- Assist with continuing to develop and foster the Alumni Ambassadors program in collaboration with other PW and National staff.
Other duties as assigned.
Required Experience and Qualifications:
- 4-5 years of experience working in volunteer management, recruiting, logistics, project management and/or equivalent roles within a Conservation Corps, nonprofit or comparable setting. BA/BS degree from an accredited college/university.
- Knowledge of the federal grants and agreements processes preferable as is contract experience.
- Willingness and ability to communicate and coordinate internally within ACE and with external stakeholders and partners.
- Willingness to travel, work occasional weekends and attend community events including occasional camping.
- Strong skills in interpersonal communication, public speaking, organization, management, conflict resolution and motivating others.
- Outstanding organizational and time management skills with the ability to maintain and effectively support a complex array of projects.
- Computer skills required including intermediate knowledge of Excel, fluency in social media, and professional email etiquette; Strong data management skills.
- Ability to function as an efficient, effective and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
- General knowledge and understanding of AmeriCorps and federal grants; Experience working with AmeriCorps program compliance, administration, and management is desired.
- Familiarity with developing social media and marketing strategies.
- Ability to perform work under pressure and meet deadlines.
- Ability to adapt to surrounding work environment and conditions that can change frequently.
- Ability to establish and maintain effective working relationships with coworkers and supervisors .
- Ability to prevent, analyze, and resolve safety issues; possess knowledge of safety procedures as applied to fleet and housing operations and experience in encouraging and enforcing compliance with safety policies.

Physical Demands, Work Environment and Working Conditions
- Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
- Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
- Weight Lifted or Force Exerted: Ability to lift up to 25 lbs.
- Environmental: Indoor conditions. Occasional outdoor work when meeting with staff and/or members in the field.
- Noise Environment: Moderate noise.
