Reports To: Senior Director of Organizational Culture


Travel: Less than 10%

Position Summary:


The People Resources Coordinator works within the Organizational Culture (Org. Culture) Department within American Conservation Experience (ACE) and reports directly to the Sr. Director of Org. Culture. The People Resources Coordinator is responsible for supporting and coordinating the ACE human resource administrative functions and resources including benefit administration, onboarding, policies and procedures, employee file management, compliance and reporting requirements. Additionally, this individual works closely with all divisions to ensure a healthy workplace with clear and inclusive policies. This position also works very closely with all Division Directors to identify, support, and implement necessary training and support for staff and member engagement.

Essential Duties and Responsibilities:

Onboarding and Employee Engagement:

  • Ensure that all staff successfully complete the onboarding process; including leading ACE hiring managers through the hiring and onboarding process and tracking the ACE orientation process
  • Assist with educating new staff on company policies and procedures
  • In collaboration with leadership and HR consultants, develop and update SOPs for hiring and exiting employees.
  • Track and manage staff training in the ACE online Learning Management System.
  • Ensure consistent and up-to-date training and resources are available to staff and members.
  • Help identify, develop, and host ACE-wide training opportunities, which includes developing training materials and managing training logistics as needed.
  • Ensure staff exit procedures are initiated and administered; including, but not limited to, working with supervisors to ensure that all personnel forms and exit interviews are documented and filed appropriately.

Benefit Administration:

  • Coordinate employee benefits including: initiating new-hire benefit enrollment; maintaining benefit records in recordkeeping systems; accurately recording all changes, and informing employees of benefit usage by preparing and distributing benefit reports;
  • Collaborate with Finance department on reconciliation of benefits accounts by approving billing statements;
  • Meet monthly with ACE benefit providers for quality control and assurance
  • Ensure Employee Assistance Program resources are up-to-date on staff intranet and member resource portals
  • Serve as a resource to employees on benefits and HR policies, and assist in internal communications.

General HR Support and Administration:

  • Assist the Sr. Director of Org. Culture in the planning for, and development of, human resource infrastructure to meet needs of the organization's greatest resource; its employees and members.
  • Accurately, and in a timely manner, submit all required reporting elements and requested responses; and document standard office procedures (SOPs) for hiring managers;
  • Ensure that benefits policies and the ACE employee handbook are kept updated.
  • Ensure legal compliance by monitoring and implementing applicable human resource federal and state requirements and maintaining records
  • Maintain and update ACE internal information portals with benefit and HR information; Coordinate with divisions to ensure appropriate resources are provided to all members and staff.
  • Perform other duties and related functions as needed or assigned.

Required Experience and Qualifications:

  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.
  • 2+ years of HR experience with an interest in growing.
  • Working knowledge of human resource policies and procedures required.
  • Ability to professionally handle highly confidential information, adhering to legal and ethical policies, required.
  • Experience with HRIS systems, including implementation, preferred.
  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.
  • Demonstrated interpersonal, presentation, and organizational skills.
  • The ability to handle multiple projects/tasks, prioritize work and meet deadlines.
  • Proficiency with MS Office; knowledge of HRIS systems is a plus.
  • Ability to be flexible, self-directed, motivated and able to interact with employees at all levels.
  • Capable of compiling and analyzing data.
  • Knowledge of federal and state laws and regulations required.
  • Familiarity with EEOC, ADA and employment laws.
  • Strong and effective communication skills, with the ability to clearly and concisely express ideas both verbally and in writing.
  • Requires regular and predictable attendance and punctuality.
  • Strong time management skills.
  • Proven ability to work independently and be a positive, contributing member of a group.
  • Ability to prepare and maintain records and reports.
  • Ability to understand and carry out oral and written instructions.
  • Ability to understand and follow ACE systems and processes.
  • Ability to work in a remote administrative and team environment.
  • Ability to work well with others and to seek assistance when needed to carry out assignments.
  • Ability to perform the essential duties of the position with or without reasonable accommodations.

Other Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record.
  • Proficient in English.
  • Ability to pass a federal criminal background check.
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time.
  • All ACE members and staff must verify that they are fully vaccinated for COVID-19 by the time they start their term/position or request a medical or religious exemption.

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
  • Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position may require domestic travel.

Schedule/Hours: Full-time flexible option between 30-40 hours/week with additional hours as needed. Typical work hours range from 9:00 am - 5:00 pm local time (Monday - Friday, flexible) with some adjustment expected to accommodate specific projects and program needs.


Compensation: Starting annualized salary range of $40,000 - $53,000 (assuming 40 hours/week for 52-weeks), depending on experience. If you decide you would like to regularly work less than 40 hours per week but at least 30 hours per week, we are happy to negotiate that with you accordingly.


Medical/Health Benefits: ACE offers competitive medical and ancillary plans (health, mental health, dental, vision and other supplemental benefits). ACE Staff members are also eligible to participate in ACE's 403b retirement plan with a 1% employer contribution.


Holidays, Vacation, and Sick Time: As a full time regular staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). Additionally, ACE full-time regular employees also receive paid additional holiday time for any normal work days that fall between the observed Christmas Day and New Years Day holidays. ACE provides 10 days (or 80 hours) of paid sick time annually.
