Reports To: Senior Director of Program Operations

Status: Regular Full-Time, Salaried (Exempt)

Schedule/Hours: Full-time (Monday-Friday). 40 hours/week with additional hours as needed.

Compensation: Starting Salary Range (annualized): $45,000 - $60,000, based on relevant experience. This full-time position is eligible for a comprehensive benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays, and 403b retirement for qualified employees.

American Conservation Experience (ACE) is a dynamic non-profit organization dedicated to providing rewarding environmental service opportunities to over 1,500 members (youth and young adults) each year, and does so with a skilled staff of approximately 150 employees across the U.S. ACE has a national reputation for providing professional development opportunities on a variety of conservation projects for the U.S. Forest Service, Bureau of Land Management, National Park Service, U.S. Fish and Wildlife Services, and numerous state and local land management partners, either with crew based work or with individually placed interns. As the National Operations Manager, you will focus on managing systems and processes that impact divisional staff across the country.

The National Operations Manager works across the Divisions of the Program Department, as well as with the Administration and Communication teams, to support more effective and consistent implementation of processes, procedures and policies designed to provide back-end operations support to ACE members and staff. This includes elements of fleet, field ops and data management, extensive back-end systems support, some claims management, staff trainings and process development that supports staff in their efforts to field members as safely and efficiently as possible.

Essential Functions and Responsibilities:

The National Operations Manager supports staff and back-end operations in the following ways:

Systems and Process Management

  • Help develop, build and manage systems that create consistency between divisions and support compliance and process management needs
  • Develop and coordinate ACE data collection and management efforts
  • Assess existing systems and tools and make recommendations for better solutions specific to Program staff/operations. Help manage the roll-out of new systems and tools as they are approved.

Fleet & Field Ops Management Support

  • Support the development and upkeep of national fleet strategies across the organization
  • Assist Program Directors in their efforts to develop cross-Division fleet and field management standards
  • Review systems and materials annually to ensure standards are up-to-date
  • Maintain the national fleet inventory tracking sheet on an ongoing basis
  • Work with our finance department to ensure vehicles are registered and have proper insurance paperwork
  • Ensure compliance within fleet maintenance standards by regularly reviewing fleet maintenance logs and supporting staff as needed through education and training
  • Process MVR checks and work with Safety and Operations Directors to support division compliance
  • Work with the Operations Director and Division Directors to fully utilize fleet inventory throughout the year (scheduling support)
  • Help troubleshoot maintenance & repair issues as needed and support the vehicle claims process

Compliance

  • Build and maintain sheets or other resources that create consistent, compliant processes across Program divisions
  • Audit various sheets/files/systems on regular intervals and reach out to staff to make corrections

Training

  • Support the development of staff training resources
  • Provide remote staff trainings to create consistent process implementation across Program divisions

Other

  • This position can be highly variable at times and should anticipate one-off projects on a semi-regular basis
  • Perform other duties and related functions as needed or assigned

Preferred Experience and Qualifications:

  • Three or more years experience with program/operation elements, especially facilitating communication across teams, preferably within a nonprofit environment
  • Able to take initiative, work independently, and participate in collaborative efforts.
  • A foundational understanding of fleet maintenance and conservation field logistics, especially within a conservation corps structure
  • Experience overseeing multiple projects and working with teams in different locations
  • Experience collaborating with and leading staff who are not direct reports
  • Strong written and verbal communication skills
  • A basic understanding of risk management, especially within an outdoor, conservation based field
  • Ability to work remotely and independently with minimal supervision
  • Experience using a variety of software and database systems, including Microsoft Office Suite, Google Platform and other internal and external systems
  • Proficient in English
  • Must be authorized to work in the U.S.

Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record.
  • Proficient in English.
  • Ability to pass a federal criminal background check.
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws.
  • Strong interpersonal communication skills and ability to articulate work to others on the team
  • Strong time management, organizational, and follow-through skills

Physical Demands, Work Environment and Working Conditions.

  • Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently lifts up to 10 lbs., occasionally lifts up to 25 pounds.
  • Environmental: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position requires some domestic travel.
