ACE has a national reputation for providing exceptional training and support to enable young adult crews to safely and economically implement technically complex and physically demanding conservation projects for the US Forest Service, BLM, National Park Service, USFWS and numerous state and local land management partners.

Job Title: Member Support Specialist

Location: This position is based out of the ACE Eastern program office in Fletcher, North Carolina (Asheville area). This is a hybrid flexible position with the option of working 40% remote and 60% in-person / on-site at the ACE Eastern Office.

Department/Division: CREW, Eastern Division

Status: Regular Full-Time, Salaried (Exempt), Subject to Furlough.

Reports To: Associate Director of Member Programs

Schedule/Hours: Full-time, 40 hours/week (Monday - Friday, with some adjustment expected to accommodate specific projects and program needs). Some evening and weekend hours may be occasionally required.

Travel: 10% (Some local and regional trips will be required to support crews and project logistics).

Program Summary:

Based out of the Asheville region of North Carolina, ACE's Eastern Crew program operates year-round engaging young adult volunteers in a variety of field-based conservation projects including trail, ecological restoration, and historic preservation. From the ancient forests of the Appalachian Mountains to the barrier islands on the Atlantic Coast and all other aspiring landscapes of the eastern region of the United States, ACE Eastern crews make a difference on public lands while gaining valuable conservation skills and experience.


Position Summary:

The Member Support Specialist is an office-based position and works closely with all staff members and volunteer members (AmeriCorps and Non-AmeriCorps members) within the ACE Eastern Crew Program.

The Member Support Specialist will be responsible for assisting with member management and supporting ongoing project and program logistics, as well as the division's member management needs. This person will need to be resourceful, flexible, energetic, positive, willing to travel (on occasion), and quick to learn new tasks.


Essential Duties and Responsibilities:

  • Data entry: Manage and update all member information in ACE's internal database and spreadsheets.
  • Digital filing and administrative assistance.
  • Review AmeriCorps member timesheets weekly for accuracy and timesheet compliance in a timely fashion while working with members to submit those sheets regularly.
  • Assist Member Management team in ensuring on-boarding process runs smoothly for all new arrival groups; organize orientation materials and new member documentation; follow up on on-boarding items to make sure they're completed on time; coordinate arrival details with incoming members.
  • Assist in managing ACE Eastern's social media accounts.
  • Conduct required Mid-Term Evaluations and End-of-Term Evaluations with ACE Eastern AmeriCorps members
  • Provide performance feedback to AmeriCorps members.
  • Assist with AmeriCorps member recruitment, as needed to assist the Outreach Member Support Coordinators, including: reviewing AmeriCorps applicants, conducting AmeriCorps member interviews utilizing the standard recruitment protocol, screening candidates from all backgrounds, and performing reference checks.
  • Help maintain, develop, and disseminate member support materials in collaboration with other ACE departments.
  • Support AmeriCorps members during their ACE conservation service.
  • Assist Program Management Team with tracking AmeriCorps statistics as needed.
  • Help lead ACE member trainings focused on interpersonal skills and professional development, as needed.
  • Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff.
  • Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.

Required Experience and Qualifications:

  • Familiarity with basic office practices, file management, and records maintenance
  • Ability to function as an efficient, effective, communicative, and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
  • Strong skills in leadership, interpersonal communication, organization, time management, problem solving, conflict resolution, and motivating others
  • Computer skills including intermediate knowledge of Excel and Google Suites, strong professional email etiquette, and strong data management skills
  • Excellent written and verbal communication skills
  • Attention to detail
  • Ability to manage, balance, and coordinate multiple, diverse responsibilities and deadlines
  • Ability to take initiative and anticipate workflow
  • Basic comfort level speaking on the phone
  • Ability to receive and provide constructive feedback.

  • Ability to prepare and maintain records and reports.
  • Ability to understand and follow ACE systems and processes.
  • Ability to adapt to surrounding work environment and conditions that can change frequently
  • Willingness to travel up to 8 hours away in urgent situations, work occasional weekends/evenings, and attend community events, as needed
  • Previous experience working in a team setting supporting/developing young adults as well as experience in nonprofit, conservation, and/or natural resource management fields preferred
  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.

  • Ability to perform the essential duties of the position with or without reasonable accommodations.

Other Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record.
  • Proficient in English.
  • Ability to pass a federal criminal background check.
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time.

Physical Demands, Work Environmental and Working Conditions:

    • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch. Ability to hike over rough terrain, and camp overnight under field conditions (all physical demands are required with or without reasonable accommodations).
    • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus (with or without reasonable accommodations).
    • Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
    • Environmental: Outdoor and indoor conditions. Indoor air quality is good and the temperature is controlled. Outdoor work environment conditions can change frequently; working under adverse weather conditions and in various climates.

  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic. At field sites, may involve loud equipment like chainsaws, brushcutters, augers, and gas- powered pumps.

  • Travel: This position requires local, domestic travel.

Compensation: Annualized salary of $40,000 (assuming 40 hours/week 52 weeks/year).

Medical/Health Benefits: ACE offers competitive medical and ancillary plans (health, mental health, dental, vision and other supplemental benefits). ACE Staff members are also eligible to participate in ACE's 403b retirement plan with a 1% employer contribution.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
