ACE has a national reputation for providing exceptional training and support to enable crews to safely and economically implement technically complex and physically demanding conservation projects for the US Forest Service, BLM, National Park Service, USFWS and numerous state and local land management partners.

Job Title: Member Support Specialist, CREW Eastern

Division: CREW, Eastern Division

Status: Full-Time, Hourly, Non-Exempt

Location: Fletcher, North Carolina (Asheville, NC area). This is a hybrid position allowing telework options with onsite needs (Option of working 60% remote and 40% in-person onsite).

Schedule: ​​Full-time, average of 30-35 hours/weeks with additional hours as needed (40 hours expected during the summer high season). Flexible work schedule (Monday - Friday) with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required. This is a 9-10 month appointment with possible extension.

Start Date: March 13, 2023

Reports To: Associate Director of Member Programs

Travel: Some local/regional travel required to support crews and project logistics (10%)


Position Summary

ACE's Eastern Crew Region program operates year-round with young adult volunteer AmeriCorps crews completing trail, ecological restoration, historic preservation and conservation field projects throughout the Eastern Region of the US, from the ancient forests of the Appalachian Mountains to the barrier islands on Atlantic Coast and other inspiring landscapes of the Eastern United States!

The Member Support Specialist is an office-based position and works closely with all staff and members (AmeriCorps and Non-AmeriCorps members) within the ACE Eastern Crew Division.

The Member Support Specialist will be responsible for assisting with member management and supporting ongoing project and program logistics, as well as the division's member management needs. This person will need to be resourceful, flexible, energetic, positive, willing to travel (on occasion), and quick to learn new tasks. Option of working 60% remote and 40% in-person onsite at the ACE Eastern field office based in Fletcher, North Carolina.

Essential Functions and Responsibilities:

  • Data entry; Manage and update all member information in ACE's internal database and spreadsheets for clear tracking of conservation AmeriCorps and volunteer members participating in the Eastern Crew program.
  • Digital filing and administrative assistance.
  • Review AmeriCorps member timesheets weekly for accuracy and timesheet compliance in a timely fashion while working with members to submit those sheets regularly.
  • Assist the Member Management team in ensuring the on-boarding process runs smoothly for all new arrival groups including: organizing orientation materials and new member documentation; following up on on-boarding items and coordinating arrival details with incoming members.
  • Conduct required Mid-Term Evaluations and End-of-Term Evaluations with ACE Eastern AmeriCorps members; Provide performance feedback to AmeriCorps members.
  • Assist the Outreach Member Support Coordinator with AmeriCorps member recruitment, including: reviewing AmeriCorps applicants, conducting AmeriCorps member interviews utilizing the standard recruitment protocol, screening candidates from all backgrounds, and performing reference checks.
  • Help maintain, develop, and disseminate member support materials in collaboration with other ACE departments.
  • Support AmeriCorps members during their ACE conservation service terms.
  • Assist Program Management Team with tracking AmeriCorps statistics as needed.
  • Help lead ACE member trainings focused on interpersonal skills and professional development as needed.
  • Adhere to ACE safety policies and procedures.
  • Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff.
  • Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.

Required Experience and Qualifications:

  • Familiarity with basic office practices, file management, and records maintenance.
  • Ability to function as an efficient, effective, communicative, and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
  • Experience and interest in leadership, interpersonal communication, organization, time management, problem solving, conflict resolution, and motivating others.
  • Computer skills including intermediate knowledge of Excel and Google Suites, strong professional email etiquette, and strong data management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail.
  • Ability to manage, balance, and coordinate multiple, diverse responsibilities and deadlines.
  • Ability to take initiative and anticipate workflow.
  • Basic comfort level speaking on the phone.
  • Ability to receive and provide constructive feedback.
  • Ability to understand and carry out oral and written instructions.
  • Ability to understand and follow ACE systems and processes.
  • Ability to adapt to the surrounding work environment and conditions that can change frequently.
  • Willingness to travel up to 8 hours away in urgent situations, work occasional weekends/evenings, and attend community events, as needed.
  • Previous experience working in a team setting, preferably in the nonprofit, outdoor, conservation, and/or natural resource management fields.
  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred but not required.
  • Commitment to ACE's mission of public service through youth development & volunteerism.
  • Ability to prepare and maintain records and reports.
  • Ability to understand and carry out oral and written instructions.
  • Ability to understand and follow ACE systems and processes.
  • Possess a high school diploma or GED certificate.

Physical Demands, Work Environment and Working Conditions:

  • Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Occasionally required to stoop, kneel, climb stairs, and/or crouch (all physical demands are required with or without reasonable accommodations).
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
  • Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position may require domestic travel as needed (to visit project sites/recruitment events)

Compensation: $17.10 per hour. This position is subject to overtime as needed and approved.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
