Job Title: Logistics Coordinator

Location: This position is based out of Hurricane, Utah ( St.George, Utah area). This is an on-site position.

Department/Division: CREW, Mountain West

Status: Temporary Full-Time, (Exempt)

Reports To: Associate Director

Schedule/Hours: Full-time, 40 hours/week (Monday - Friday, flexible hours) with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

Travel: 20-30 %; Primarily local travel with some regional travel.

Start Date: October 2023

Estimated End Date: March 2024, with potential for extension.

Program Summary: ACE's Mountain West Crew program operates year-round, completing diverse conservation field projects on public lands throughout the Mountain West Region of the US! Based in Hurricane, Utah at the "gateway to Zion National Park," ACE Mountain West field projects include fuels reduction and thinning, invasive species treatment, native plant restoration, trail construction and more and range in location throughout southern Utah and all of Mountain West region of the U.S., from the red rock hoodoos of Bryce Canyon and Arches to the mountain peaks of the Wasatch Range to the heart of the Great Basin desert and beyond!

Position Summary: As the ACE Logistics Coordinator, you will be responsible for providing on-the-ground support at the ACE Mountain West division headquarters and various project sites directly supporting our conservation field crews and projects.

The Logistics Coordinator has three major areas of responsibility:

1) Assist with purchasing of food and meal planning

2) Fleet maintenance and management

3) Warehouse organization and management

As a key member of the ACE Operations Team, the Logistics Coordinator is responsible for managing all aspects of planning, purchasing, and providing meal provisions for ACE crews working in the field as well overseeing and coordinating on-the-ground support for fleet and warehouse/supplies management. This dynamic position works closely with the other Logistics Coordinator and the Project Managers as well as the Associate Director and Member Resource team to ensure that conservation crews are prepared to successfully complete field projects with all necessary supplies and equipment.


Essential Duties and Responsibilities:

Meal Planning and Prepping:

  • Help develop nutritious meal plans that are applicable for up to eight (8-person) crews based in outdoor spike camp situations.
  • Purchase quality and bulk foods and pack foods in crew food bins or coolers. Ensure that when purchasing any item that ACE is getting the best value for money, check the internet for price comparison, and develop relationships with local suppliers.
  • Pack and transport purchased goods from stores to the ACE warehouse as required in an ACE vehicle.
  • Repair and maintain sufficient food coolers and dry boxes.
  • Maintain cookset resupply and stoves.
  • Communicate and coordinate with Crew Leaders to ensure appropriate provisions are purchased if the crew is on a field project longer than two weeks.
  • Review crew schedules and then develop a menu of breakfasts, lunches, and dinners for crews providing suitable options for those with dietary restrictions such as vegetarian, gluten free, etc.

Fleet Management:

  • Serve as on-the-ground fleet support for the ACE Mountain West Division (about 12 vehicles and trailers) as the division's point of contact with ACE central fleet staff.
  • Inspect vehicle and trailer report forms from returning crews and take necessary action regarding any maintenance that may be needed or items that are missing.
  • Ensure fleet repairs and routine maintenance is conducted in a timely manner and to a professional standard. Keep maintenance logs up to date.
  • Obtain work needed quotes and take vehicles to a local mechanic as required.
  • Be present and assist when crews are preparing to leave on field work (rig up) and when crews return from the field (de-rig).
  • Coordinate with other Logistic team member(s) and Associate Director to ensure that appropriate vehicles are scheduled and properly stocked for each field project.
  • Assist other Logistics team member(s) with driver training.

Warehouse Organization and Management:

  • Ensure that the warehouse is organized and maintained including food, supplies and tool inventory.
  • Coordinate with ACE staff to ensure that project supplies are maintained and stored correctly following field projects.
  • Maintain cleaning and maintenance schedule including fire alarm checks, appliance checks, standards of hygiene, secure property, etc. for ACE warehouse/office facility.
  • Conduct weekly warehouse checks for cleanliness upkeep after crews leave for field projects. Enforce disciplinary measures in coordination with division leadership for members/crews that do not meet standards.
  • Purchase and maintain cleaning supplies and other essentials for the office/ warehouse.
  • Oversee and implement de-rig policies and procedures.
  • Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff.
  • Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.

Required Experience and Qualifications:

  • Possess a high school diploma or GED certificate. AS/AA or BA/BS degree from an accredited
  • college/university preferred.
  • Intermediate level computer skills, specifically including knowledge of Microsoft Office products and a familiarity with the Google Apps suite.
  • Previous experience working with young adults in a team setting.
  • Knowledge or leadership experience within the conservation field.
  • General knowledge of fleet (vehicle & trailer) maintenance and repair.
  • Knowledge of general facility maintenance, improvements, and repair.
  • Experience shopping for and creating healthy, cost effective recipes for field crews.
  • Ability to adapt to work environments and conditions that can change frequently.
  • Experience in communicating rules and regulations and holding others responsible for expectations.
  • Willingness to travel and camp out for extended periods of time if needed.
  • Must be flexible and possess a high work ethic.
  • Ability to establish and maintain effective working relationships with members, staff, and the general public.
  • Ability to maintain a positive, constructive work environment conducive to team performance.
  • Ability to analyze and resolve complex safety issues
  • Ability to handle concurrent operations in a fast-paced environment.

  • Must be authorized to work in the U.S.

Physical Demands, Work Environmental and Working Conditions:

  • Physical Demands: Requires frequent sitting, standing, walking/hiking, carrying, having full function of arms and legs. There is frequent travel to field sites via four wheel drive vehicles, fixed wing aircraft, and/or boats. Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch. Ability to hike over rough terrain, and camp overnight under field conditions
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 25 lbs., occasionally moves up to 75 pounds.
  • Environmental: Outdoor and indoor conditions. Indoor air quality is good and the temperature is controlled. Field sites involve exposure to adverse weather, i.e., rain, snow, wind, cold and/or heat.
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic. At field sites, may involve loud equipment like chainsaws, brushcutters, augers, and gas- powered pumps
  • Travel: This position requires domestic travel.

Compensation: Starting annualized salary of $40,000 (assuming 40 hours/week 52 weeks/year), depending on experience.

Medical/Health Benefits: ACE offers competitive medical and ancillary plans (health, mental health, dental, vision and other supplemental benefits). ACE Staff members are also eligible to participate in ACE's 403b retirement plan with a 1% employer contribution.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
