ACE National Operations Manager

Title: National Operations Manager

Reports to: National Director,  Program Operations
Location: Flexible
Hours: Flexible schedule (M-F); additional hours as needed

Position Summary: 

The National Operations Manager works across the Divisions of the Program Department, as well as with the Administration and Communication teams, to support more effective and consistent implementation of processes, procedures and policies designed to provide back-end operations support to ACE members and staff. This includes elements of fleet management, safety, worker's comp, staff trainings and process development that supports staff in their efforts to field members as safely and efficiently as possible.

Essential Functions and Responsibilities:

  • Support the development and upkeep of national fleet strategies across the organization
    • Assist National Program Director in their efforts to develop cross-Division fleet management standards
    • Provide regular trainings across divisions on standardized fleet processes, including fleet safety, vehicle maintenance processes, Enterprise, Verizon, and Shell platforms, and any internally developed systems and tracking sheets
    • Help develop improvements in ACE fleet tracking, inventory and maintenance
    • Maintain the national fleet inventory tracking sheet on an ongoing basis
    • Ensure vehicles are registered and have proper insurance paperwork
    • Ensure compliance within fleet maintenance standards by regularly reviewing fleet maintenance logs and supporting staff as needed through education and training
    • Process MVR checks and work with Safety and Operations Directors to support division compliance 
    • Work with the Operations Director and Division Directors to fully utilize fleet inventory throughout the year (scheduling support)
    • Help troubleshoot maintenance & repair issues as needed and support the vehicle claims process
  • Assist the Director of Risk Management
  • Be a point of contact in processing worker's comp claims for the organization
  • Setup and monitor Garmin InReach devices
  • Assist with risk management trainings and debriefs
  • Reviews operational training programs and consults with Division staff for training program improvements and consistency, as needed
    • May directly support division staff with specific trainings, and in the development of a cohesive training database
  • Primary responsibility for overseeing the Christopherson Business Travel (CBT) account 
  • Assist the Business Management Trainee with the processing of EPIC Member per diems and reimbursements, as needed
  • Coordinate across Departments to develop field operations content for the ACE Connect intranet 
  • Perform other duties and related functions as needed or assigned

Physical Demands, Work Environment and Working Conditions.  

  • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus
  • Weight Lifted or Force Exerted: Frequently lifts up to 10 lbs., occasionally lifts up to 25 pounds
  • Environmental: Outdoor and indoor conditions. Indoor air quality is good and temperature is controlled
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic
  • Travel: This position may require travel, up to 20% per year, depending on project needs
