Job Title: Division Support Specialist

Location: Fletcher, NC (Asheville, NC Area)

Department/Division: CREW Program, Eastern Division

Status: Seasonal Full-Time (Not to exceed 1,040 hours), Hourly (Non-Exempt)

Schedule/Hours: 40 hours/week, Flexible Schedule (Monday-Friday). Additional weekend/evening hours may occasionally be required, but not frequent

Reports To: Associate Director

Travel: 10% (Some local and regional trips will be required to support crews and project logistics)

Compensation: $15.00 per hour. Designated holidays and paid sick leave.

Start Date: May 24, 2021 or May 31, 2021

End Date: November 19, 2021 or November 24, 2021 (or 26 weeks after start date)

Position Summary: In support of facilitating meaningful conservation professional development opportunities for youth and young adults on public lands, the Division Support Specialist will be responsible for assisting with member management and supporting ongoing project and program logistics. The Division Support Specialist will work under the direction and support of ACE Eastern Crew Division program leadership to assist with a variety of administrative, programmatic and operational projects with a strong focus on member programming.

The Division Support Specialist's responsibilities will vary from day-to-day depending on the Division's needs, and this person will need to be resourceful, flexible, energetic, positive, willing to travel (on occasion), and quick to learn new tasks. Option of working 60% remote and 40% in-person, in-office is available.

Essential Functions and Responsibilities:

The Division Support Specialist will support the Director, Associate Directors, Member Coordinators and Project Managers in a variety of operational, programmatic and project specific tasks which may include:

Member Program Management Support (about 75%)

  • Assist with data entry and digital filing to ensure up-to-date volunteer member information in ACE's internal database and spreadsheets for clear tracking of ACE Conservation Corps members
  • Support and facilitate weekly reviews of member timesheets for accuracy and timesheet compliance in a timely fashion while working with members to submit those sheets regularly
  • Assist Member Management team in ensuring on-boarding process runs smoothly for all new arrival groups, including but not limited to organizing orientation materials and new member documentation; following up with members on on-boarding items to make sure everything is completed on time and coordinate arrival details with incoming members
  • Support Member Support Coordinators (MSC) with conducting Mid-Term Evaluations and End-of-Term Evaluations with ACE Members
  • Assist MSCs with providing performance feedback to members during their term of service
  • Support member recruitment efforts including reviewing applications, conducting initial applicant interviews utilizing the standard recruitment protocol to screen candidates from all backgrounds, and conduct reference checks
  • Help maintain, develop, and disseminate member support materials in collaboration with other staff and other ACE departments
  • Support AmeriCorps members during their ACE conservation service
  • Assist with tracking project and program statistics for reporting purposes
  • Other duties as assigned

Field Operations/Logistics (about 25%)

  • Assist with vehicle pick-ups and drop-offs to and from the mechanic
  • Assist with food purchasing, packing, and organizing
  • Assist with housing maintenance projects (ie painting or yard repair)
  • Assist with warehouse organization and supplies inventory (tents, t-shirts, etc.)
  • Assist with corps member pick-ups and drop-offs to Fletcher office or Asheville housing
  • Drive vehicles (including 12-passenger vans) to bring supplies or crew members to-and-from projects in the field
  • Assist Associate Director of Field Operations as well as project managers with uploading and entering field and project data into ACE's internal database
  • Respond to emergencies and organize medical care for sick or injured members (including after hours in some instances)
  • Other duties as assigned

Required Experience and Qualifications:

  • Familiarity with basic office practices, file management, and records maintenance
  • Ability to function as an efficient, effective, communicative, and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
  • Strong skills in leadership, interpersonal communication, organization, time management, problem solving, conflict resolution, and motivating others
  • Computer skills including intermediate knowledge of Excel and Google Suites, strong professional email etiquette, and strong data management skills
  • Excellent written and verbal communication skills
  • Attention to detail
  • Ability to manage, balance, and coordinate multiple, diverse responsibilities and deadlines
  • Ability to take initiative and anticipate workflow
  • Basic comfort level speaking on the phone
  • Ability to receive and provide constructive feedback.
  • Ability to understand and carry out oral and written instructions.
  • Ability to understand and follow ACE systems and processes.
  • Ability to adapt to surrounding work environment and conditions that can change frequently
  • Willingness to travel up to 8 hours away in urgent situations, work occasional weekends/evenings, and attend community events, as needed
  • Previous experience working in a team setting supporting/developing young adults as well as experience in nonprofit, conservation, and/or natural resource management fields preferred
  • Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus
  • Weight Lifted or Force Exerted: Frequently lifts up to 10 lbs., ability to lift up to 25 pounds
  • Environmental: Outdoor and indoor conditions. Work environment conditions can change frequently; working under adverse weather conditions and in various climates
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position requires local and regional domestic travel
