ACE - Facilities and Housing Coordinator

American Conservation Experience (ACE) is a dynamic non-profit organization dedicated to providing rewarding environmental service opportunities that harness the idealism and energy of a volunteer labor force to help restore America's public lands. ACE has a national reputation for providing exceptional training and support to enable crews to safely and economically implement technically complex and physically demanding conservation projects for the US Forest Service, BLM, National Park Service, USFWS and numerous state and local land management partners.

Title: Facilities and Housing Coordinator

Location: Flexible. Must be willing and able to travel to ACE offices.

Department/Division: Program, Central Operations

Status: Full-Time, Hourly (Non-Exempt)

Schedule/Hours:  Flexible schedule (Monday-Friday); Additional hours as needed

Compensation: Full-Time, 40 hours/week within a flexible schedule. Competitive pay with a benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays and 401k retirement for qualified employees

Reports to: Facilities and Housing Director

 

Position Summary:

The ACE Facilities and Housing Coordinator will work closely under the direction and supervision of the Facilities and Housing Director on ACE activities and projects related to housing, construction and maintenance of ACE structures, facilities, and systems. This position will be responsible for coordination of short- and long-term housing and logistics for ACE employees and members for all ACE's regional bases.

Essential Functions and Responsibilities:

  • Coordination of short-term housing needs and acquisition, including motels, hostels, AIRB&B, VRBO's, etc.
  • Coordination and acquisition of long-term housing when needed
  • Review of ACE Divisions' weekly housing checklist and follow-up on issues noted
  • Acquire subcontractors' certificate of insurance and W-9 forms, verify contractors have current licenses
  • Coordination of subcontractors to schedule facilities repairs
  • Responsible for the coordination and acquisition of larger household/facilities goods
  • Purchase and acquire materials and supplies as needed
  • Ability to maintain timely, effective communication with Division housing coordinators and lead as required
  • Track receipts for items purchased and submit to the Director per the policies and procedures.
  • Be willing to travel as necessary
  • Adhere to ACE safety policies and procedures; Reports any unsafe or harmful conditions, incidents and/or accidents immediately
  • Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff
  • Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.
  • Perform other duties and related functions as needed or assigned by the Facilities and Housing Director

 

Required Experience and Qualifications:

  • Proven and relevant work experience in project coordination or applicable related experience
  • Construction background preferred but not required
  • Ability to develop and use spreadsheets to track tasks (MS excel)
  • Ability to develop and manage internet-based spreadsheets
  • Strong attention to detail and excellent organizational skills
  • Ability to prepare and maintain records and reports
  • Ability to understand and carry out oral and written instructions
  • Ability to understand and follow ACE systems and processes
  • Proven ability to track details and organize; Strong time management skills
  • Ability and motivation to perform multiple and variable tasks concurrently
  • Professional verbal and written communication skills
  • Proven ability to work independently and be a positive, contributing team member

Other Requirements:

  • Legal ability to work in the US
  • Valid driver's license and an insurable driving record
  • Proficient in English
  • Ability to pass a federal criminal background check
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time

 

Physical Demands, Work Environment and Working Conditions 

Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch

Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus

Weight Lifted or Force Exerted: Frequently lifts up to 20 pounds, ability to lift up to 50 pounds

Environmental: Mainly indoor conditions, although may occasionally be subject to outdoor conditions. Indoor air quality is good, and temperature is controlled

Noise Environment: Moderate noise such as in a business office with equipment and light traffic

Travel: This position requires some domestic travel
