American Conservation Experience, Payroll Administrator

Location:  American Conservation Experience, a Non-Profit conservation corps with nationwide operations, is seeking a Payroll Administrator to work in our headquarters located in Flagstaff, AZ.    The position is full time, year round, career track position.

Background:  American Conservation Experience (ACE) is a national leader in the conservation service industry.   We recruit and train conservation corps crews and interns to support hands-on restoration projects performed in partnership with federal, state, and local land management and resource protection agencies.   With up to 700 staff, AmeriCorps members, and interns on payroll during peak field seasons serving in across the United States, in Puerto Rico, the Virgin Islands, and American Samoa, ACE is seeking a specialist to managing payroll, workers compensation, state by state tax reporting, and both internal and external audits in a multi-faceted, fast paced environment.    The Payroll Administrator will serve as the primary point of contact with our current payroll company, ensuring the confidentiality and accuracy of all associated data and documents, while helping ACE's management team explore options to process payroll in house.  

American Conservation Experience (ACE) is currently recruiting a Payroll Administrator to work in their Flagstaff, AZ office.  The successful candidate will have working knowledge of weekly payroll input, understanding of all quarterly payroll tax reporting needs, experience with verifying benefits allocation, Human Resource background, attention to detail a must as well as demonstrated ability to work in a fluid environment.  ACE is currently utilizing Paychex as the processing system but soon to move to ADP.  Please highlight any experience as it relates to utilizing these processing systems.

Experience:  The ideal candidate will possess a Bachelor's degree, preferably in Human Resources, experience working with nonprofit organizations, a track record of developing successful partnerships, confidence to express new ideas verbally and in writing, and a history of working cooperatively as a member of a broader management team.     

Supervisory Structure:  The Payroll Administrator works within ACE's Finance Department, is directly supervised by the Finance Director, and works closely with the directors of each of our branches.       


Duties and Responsibilities:

  • Input new staff members into payroll systems
  • Weekly payroll data input, including tracking vacation and sick leave accruals and use.
  • Preparing and filing federal and state by state payroll taxes and reporting
  • Manage workers compensation reporting and audits
  • Coordinate health, dental benefits, and COBRA benefits
  • Learn and implement federal and state specific changes to regulation affecting payroll
  • Help develop and improve systems to safeguard confidentiality of all payroll related information and personally identifiable information
  • Assist with HR compliance

Start Date:  Position available for immediate employment.

Length of Commitment:  This is considered a career opportunity with a minimum anticipated commitment of 3 5 years.

Compensation:   Salary range offered:  $45,000 - $60,000/year DOE


Benefits include paid vacation and sick leave as well as health and dental benefits.

Hours:  Flexible, but not to exceed 40 hours per week.
