American Conservation Experience, 501c3, is seeking an Accounting Specialist to join the Emerging Professionals Internship Corps Program (EPIC), a National internship program dedicated to developing and diversifying the conservation workforce nationwide.

Under the guidance of the Finance Director, the Operations & Accounting Specialist is responsible for processing and tracking all capital expenses, managing receipts, credit cards, per diems and reimbursements, and travel/training management.  The Operations & Accounting Specialist will be responsible for assisting with payroll processing and various general ledger functions, and for supporting fiscal management functions in the EPIC branch of the organization.

The ideal candidate will exhibit exceptional attention to detail and timely delivery of various reports, while working in a dynamic and variable environment. They will be committed to ACE's mission to public service through professional development & volunteerism. The goal for ACE is to be responsive and capable to its mission, and the needs of its constituents.

They will perform a variety of accounting duties that range in level of complexity.  This could range from clerical accounting duties, such as managing account receivables or payroll reporting, to more complex duties such as managing refunds, approvals, electronic journal entries, project closeout, and reconciling accounts.

Previous Work Experience: Previous experience in payroll processing, organizational and management accounting, and purchasing in a non-profit setting is desired. Advanced Excel experience, as well as an understanding of data management, is prefered.  Knowledge of accounting software, such as QuickBooks, is also a plus.

Education Requirements: AA/AS degree or higher in accounting, finance, business, or related field is preferred accounting & financial management experience may compensate for education.

Primary Responsibilities:

  1. Processes partner payments and records online payments, checks, and credit card transactions.

  2. Posts revenues by verifying and entering transactions and deposits.

  3. Updates receivables by totaling unpaid invoices.

  4. Summarizes receivables by maintaining invoice accounts; coordinating monthly transfer to accounts receivable account; verifying totals; preparing reports.

  5. Assist with payroll onboarding for new hires, as well as preparing payroll for processing.

  6. Process travel, training, per-diem, and other reimbursements.

  7. Enter all expenditures into project management databases, and assure direct costs are accounted for.

  8. Review expense and accounting documents for accuracy and appropriate approvals and ensure transactions are charged to the Sponsored Project and correct budget accounts.

  9. Interacts with Project Sponsor to resolve discrepancies or recover aging accounts receivables.

  10. Assist in tracking payroll at department level, for sponsored projects labor and benefit expenses, and ensuring costs are charged to correct accounts.

  11. Become intimately familiar with Federal Financial Assistance Uniform Guidance, 2 C.F.R 200, in order to assure organizational compliance with current rules and regulations (GAAP, CFR, OMB).


Skills and Qualifications:


  1. Knowledge and professional acceptance of the varied missions and cultures of federal agencies.  Our partners include National Park Service, Bureau of Land Management, US Fish and Wildlife Service, US Forest Service, Bureau of Reclamation, as well as state and local agencies, and non-profits.

  2. Experience with iOS, ADP Workforce Now, DocuSign, Filemaker Pro, Excel, Adobe Suite software, Microsoft Office, Google Platform (Gmail, Calendar, Google Docs) a plus. Ability to effectively use a computer for word processing, spreadsheets, designing fillable forms and budgeting required.

  3. Must be able to pass a background check with fingerprinting prior to, or within 10 days of, hire date, and have a valid driver's license.

  4. Demonstrated skills in planning, time management, flexibility, organization, and independent work proficiency.  Ability to handle multiple tasks simultaneously and to prioritize appropriately.

  5. Must have good interpersonal and communications skills and be sensitive, adaptable, professional, and articulate when dealing with others. Ability to work well as part of a highly mobile, highly functional team.  Must possess good written and verbal communications skills.

Job Benefits:

  • Flexible full-time work schedule.  Occasional weekend work and long hours will be necessary.  Occasional travel may be required.

  • Compensation depending on experience.  Estimated salary range $30-34k/annually.
